When you migrate from Gmail platform to Outlook, your Google calendar may not get synchronized because Google Calendar Sync, the tool used to synchronize calendar between Google and Outlook, no longer works, as Google App Sync conquered it earlier in January 2013. Unfortunately, the new tool is only for premium (or paid) accounts.
Well, there is no rocket science to figure out why Microsoft discontinued its support for Calendar Sync; both Microsoft and Google are business rivals and aim to get a hold of the market. In the mean time, you do not have to sacrifice your personalized calendar or drop the plan to migrate from Gmail to MS Outlook, as you still have efficient alternatives.
Synchronize Google Calendar with MS Outlook 2010 or 2013
Outlook 2013 is the most recent version of MS Outlook, which is a successor to Outlook 2010. If you are using one of these Outlook clients, you can act upon the following steps to sync your personalized Google calendar with Outlook after migrating from Gmail to Outlook:
Copy Calendar URL
- Log in to your Google account
- Click
button in the upper right corner and choose Settings in the context menu. - Click Calendars tab, and then click your profile under CALENDAR
- Click ICAL next to Calendar Address if your calendar is public; otherwise click ICAL next to Private Address.
- Copy the calendar URL and then you can paste it into Outlook, as it supports .ics format files of calendar.
Synchronize with Outlook 2010 or 2013
Method 1
With the calendar URL copied, paste it into Outlook to synchronize Outlook calendar with that of your Google account. For this, you need to put the following steps into practice:
- Open MS Outlook and navigate to Calendar > Manage Calendars ribbon
- Click Open Calendar and select From Internet in the context menu
- Now paste the Google Calendar’s URL and click OK to save
Method 2
- Open MS Outlook and click File tab
- Click Account Settings > Account Settings
- On the Account Settings dialog, click Internet Calendars > New
- Paste (Ctrl + V) the Google Calendar’s URL and click Add
- Click Close button on the Account Settings dialog to close it
- On the Subscription Options dialog, type in a name in the Folder Name box for the calendar imported from your Google account
- Click to check the Update Limit check box
- Check the Attachments check box if you want to download the attachments for all items in the Internet Calendar
With this, you are done importing your Google account’s calendar into MS Outlook. You can now view is under Other Calendars in Outlook.
Google Apps Sync replacing Google Calendar Synch for Outlook
By the end of the year 2012, Google publicized the end of Calendar Sync and introduced Google Apps Sync later in January 2013. Now, no new account can be set up using Google Sync. However, the good news was that no existing account would be discontinued to sync with Outlook. The additional changes were done in Calendar Sync; it was replaced with Google Apps Sync for MS Outlook 2013 that does not require manual configuration to sync email, contacts, and calendar sync between your Outlook and Google apps server.
Work with Old Google Calendar Sync
Though Microsoft has officially end up Google Calendar Sync service, still you can make it work for you to sync your Outlook calendar with your Google calendar or vice-versa if you put the following steps into practice:
- Download the Google Calendar Sync and install it on your computer.
Note: The Google Calendar Sync downloaded from this link still works with Outlook 2010, 2007, and 2003 if installed on Windows 7 and 8.
- Once you are done installing Google Calendar Sync, you need to specify the following things:
- Username and password of your Gmail account
- Choose 2-way synchronization in Synch options
- Specify a sync time interval in minutes
- With this, click OK to proceed
In case you want to alter calendar settings later, click the Google Calendar icon displayed on the system tray.
The Google Calendar Sync installed on a Windows 7 computer with Outlook 2010 running works fine. However, in case you come across any issue (i.e. if you encounter error – 2147319779 when used with trial version of Outlook 2013), you need to make the following alterations:
- Click Start button and type in regedit in the search box, and then choose regedit.exe in the search result.
- In the Registry Editor window, navigate to HKEY_CLASSES_ROOT\TypeLib\{00062FFF-0000-0000-C000-000000000046}\
- Delete folder 9.5 or you can rename it, while keeping 9.4 untouched
- Close both Outlook and Google Calendar Sync, and then re-launch both
Important: In order to make Google Calendar Sync work for you, make sure you use it with the default calendars in both Outlook and Google.
Set up Calendar Import/Export into both Outlook and Google
The process describes how you can transfer a copy of your calendar data from Gmail to Outlook as well as from Outlook to Gmail.
Import Calendar into Outlook from Gmail
- In this process, I want you to follow the steps (1 – 4) discussed under Copy Calendar URL above
- Based on Calendar type (public or private), click the URL and let the .ics file download
- Now, import this file into Outlook and it will show under Other Calendars
Export Calendar from Gmail to Outlook
- Launch Outlook and select the Calendar you want to export and click the File tab
- In the File tab, click Save Calendar
- Type a name to save the .ics file
- Click the More Options button, and then specify both date range and detail level
- Click OK button, and then click Save
Now, you need to perform the setup on Google’s side, as you are done with Outlook’s side.
- Log in to your Google account and navigate to Settings > Settings
- Click Calendars tab, and then click Import Calendar under Tasks
- Click Choose File and locate the .ics file
- Choose the Calendar to save the events, and then click Import
With this, you are done with the Google Calendar’s side, and hence the overall Gmail to Outlook calendar synchronization process.
